Novated leasing FAQs

Account / Login Information

Your access to Fleetintelligence is automatically activated when your lease commences.

To get started, simply go to the login page and select 'reset your password'. We will send you an email with a link to change your password to something of your choosing, and then you can log in to your account.

How do you reset your password?

• You will be sent a password reset link.

Fuel

How do I pay for my fuel?

If your lease with us includes fuel, we will provide you with fuel cards. You should receive these within 10 business days of your lease start date.

When you fill up, simply swipe your SG Fleet fuel card at the point of sale, and enter your current odometer reading when prompted.

If you have not yet received your cards, you can pay for your fuel and seek reimbursement for out-of-pocket expenses through your online account. Please make sure you keep a valid tax invoice as proof of payment.

What do I do if my fuel card is lost or stolen?

Please contact SG Fleet immediately on 1300 138 235. We will cancel the card and issue a new card as quickly as possible. Please note that you are responsible for all transactions on lost cards until the loss is reported to us.

Maintenance and Servicing

What do I do when I need servicing or repairs for my car?

You can use our Service Locator to find your nearest SG Fleet provider. SG Fleet has an established network of thousands of approved merchants nationwide, including dealerships, mechanical repair centres, major tyre outlets, specialist repairers, automotive glass replacement and roadside assistance services. Visit the Service locator on our website to find your nearest provider.

When making a booking, please advise the provider that you are an SG Fleet customer. This ensures the provider calls our Maintenance Authorisation Team for an order number before starting work on your car. The number is 1300 658 235.

You can take your vehicle to be serviced at most major manufacturer franchises. SG Fleet recommends that you take your vehicle to a franchised manufacturer dealer for servicing to ensure your warranty remains valid under the manufacturer’s terms and conditions. Refer to your manufacturer vehicle servicing handbook for more information.

Registration

How is my annual vehicle registration paid?

SG Fleet will contact you about six weeks before your registration renewal is due. If you have sufficient funds available, we can pay the renewal (and any CTP in NSW or Queensland) for you – nothing for you to do. If you don’t have sufficient funds available, you will need to pay your annual renewal fee yourself. When you accumulate sufficient funds in your account, we can reimburse you.

Note: If you are in QLD, SA, or NT, please contact your state authority to add SG Fleet as a paying agent if we aren’t already. If you are unable to do this for any reason, please email your renewal notice through to registration@sgfleet.com

Comprehensive Insurance

Can SG Fleet pay my insurance premium for me?

If you have arranged your own insurance cover, we cannot pay that insurance premium for you. Making payments to third parties on your behalf creates a significant fraud risk. In the interest of protecting your funds, we do not allow this. We can reimburse you for any annual policy you have paid, as long as you have funds available.

Claims for out-of-pocket expenses (reimbursement claims)

How can I claim for out-of-pocket vehicle expenses?

Login to Fleetintelligence to lodge a reimbursement claim for eligible out-of-pocket expenses. Submit your request for reimbursement through the ‘Activities’ menu.

Before submitting your claim, check that you have sufficient funds and that your current bank details have been updated in your online profile. You can manage your online profile details under your account name in the main menu.

Vehicle related expenses can be claimed as long as they are genuine, and related to the day-to-day running costs and upkeep of your novated lease vehicle. This does not include adding new accessories or improvements to your vehicle (unless they are replacing existing items). Road tolls are not considered running costs and cannot be claimed.

What happens if I spend more than my budget?

If during your lease you spend more than expected on your car's running costs, SG Fleet will contact you to increase your budgets in line with your expenses. You can also monitor your account balance at any time via your Fleetintelligence online account. If your balance is in a shortfall at the end of your lease, SG Fleet will invoice your employer for funds to be recovered from your salary.

What happens if I spend less than my budget?

At the end of your lease, any surplus funds will be returned to your employer via your payroll and will be subject to income tax payable.

Fund Balance

How is my balance calculated?

Your fund balance with SG Fleet helps you keep track of your contributions via salary deductions, and the running costs we pay for your leased vehicle. It includes the following:

Current Balance – salary deduction amounts received, less all running costs SG Fleet has paid for your vehicle, including any reimbursements.

Pending Transactions – running costs which SG Fleet has not yet paid but has committed to pay on your behalf, any overdue lease rentals, and the lease rental due in the current month.

Available Balance – the Current Balance, less any Pending Transactions.

Sometimes your Available Balance can fall too low to support your running costs. Having insufficient balance may be caused by salary deductions having started late, missed salary deductions, running over your projected distance, or higher than expected running costs.

What happens if I spend more than my budget?

At the end of your lease, any surplus funds will be returned to your employer via your payroll and will be subject to income tax payable.

Why is my lease rental for the current month included as a pending transaction from the start of the month?

SG Fleet wants to make sure your lease rentals are paid on time to protect your credit rating. Therefore we prioritise paying your lease rental first, over any other costs such as maintenance or reimbursements.

Can SG Fleet include salary deductions I haven’t yet made in my Available Balance?

We don’t include salary deductions before they actually occur. Unfortunately, deductions may sometimes be missed for reasons such as leave without pay, changing jobs, payroll errors, or redundancies.

Please also note that we will schedule your first lease rental for the third month after your lease starts. This allows time to build up a healthy balance before you need to start making rental payments and before we need to take them into consideration.

If I don’t have enough available balance for a reimbursement now, what should I do?

Insufficient balance issues may occur where salary deductions start late or are missed, if you are exceeding your projected distance, or if your running costs are higher than expected. Email us at contractvariations@sgfleet.com if you want to review your available balance, salary deductions, and projected running costs. We may propose revised salary deductions to return your balance to positive and allow the reimbursement.

End of Lease

What happens at the end of my lease?

Six months prior to the scheduled end of your lease term, we will contact you to discuss your options. This may include getting a new lease, re-financing the residual value for another lease term, or paying out the lease. We can also help you with an easier way to sell your vehicle through our car trade-in service.

What is a residual value?

The residual value is the amount that remains owing on the car at the end of the lease contract, including GST. Minimum residual values are set by the ATO (Australian Tax Office).

Once your lease term expires, you will need to either pay the residual value directly to the financier, or choose to re-finance the lease for an additional term.

Can you break a novated lease contract?

With your novated lease, you agree to lease your vehicle for a fixed period of time. It's important that you choose a lease term that reflects how long you intend to keep your car. If you choose to end your lease before the agreed term, you will be provided with a payout figure. This figure will include the present value of any remaining rentals at that time and your residual value inclusive of GST.

What happens if I move employers?

If you are leaving your employer, please call us as soon as possible so we can discuss the following options available to you:

Re-novate the vehicle with your new employer (if your new employer’s salary packaging allows it). You will need to sign a new novation agreement with that new employer and their leasing provider to continue to manage your novated lease.

If your new employer’s salary packaging arrangements do not allow you to re-novate, you can continue to make lease payments directly to the financier as a direct debit until the lease ends, or until you wish to pay out the vehicle. The lease term remains the same, and your residual value amount will still be due at the end of the lease. Under this option, all your running costs will be at your own expense and paid for separately post tax.

Pay out the vehicle lease and own the vehicle. You can request a payout figure, which will be emailed to you within three business days.
