A complex, decentralised fleet
This SG Fleet client operates across multiple locations throughout the upper North Island, managing tens of thousands of properties through an extensive branch network.
To support these operations, the organisation maintains a fleet of more than 300 vehicles, each allocated to an individual employee. While this model enables flexibility and responsiveness, it also introduces complexity, particularly in maintaining accurate records amid frequent driver changes and staff turnover.
Manual FBT processes under pressure
The client managed Fringe Benefits Tax (FBT) internally, relying on a single finance resource to coordinate data collection across the entire fleet. This included tracking driver allocations, capturing exempt days, and compiling information for Inland Revenue (IRD) submissions.
As the fleet expanded, this approach became increasingly difficult to sustain. Maintaining data accuracy required significant manual effort, while the risk of errors and omissions continued to grow.
With inaccurate FBT reporting carrying the potential for financial penalties, backdated liabilities, and reputational impact, the organisation recognised the need to strengthen its processes. It initiated an external review to identify opportunities for improvement.
